Club directors and staff are responsible for making sure all requirements are met and met by specified deadlines in order to be accepted and participate. This requires going through the checklist provided at www.atlanticcoastevents.org/checklist.For communication, our protocol is as follows:> ACE (us, the Tournament Host) to and from Clubs/Coaches. We communicate directly to registered teams via AES messaging. Please, make sure that you are set up to receive that communication to avoid emails being blocked or going to spam and junk.> Clubs/Coaches to and from Athletes/Parents/Spectators. Parents and spectators, please reach out directly to your club if you have any questions. It is the responsibility of the club to pass on important information to athletes, parents, and spectators for their teams. If you are not receiving information from your club about a week out from the event, please check with your club to make sure your lines of communication are working appropriately. Just like your club encourages you and your athlete to communicate first with the Coach rather than going directly to the Club Director, we do something similar for our events.You can expect the following from us via AES messaging in regards to emails after registering:Club Directors – Checklist with due dates five weeks out from the event.Club Directors – Roster reminders three and two weeks out from the event.Club Directors & Head Coaches – Event information link and day of reminders one week out from the event.Club Directors & Head Coaches – Schedule link update typically provided the Wednesday prior to an event.Note that if you are Club Director and/or Head Coach but are not receiving these emails around the times mentioned above, please make sure to go through our communication checklist.ROSTER DISCLAIMERAll participating clubs, athletes, and adults (coaches, team representatives, etc) must be AAU members and on the roster that is submitted for team checkin.We require submission of AES rosters for this specific event for each team. This will require that all participants are AAU verified in AES. Aka, you cannot just type in an AAU membership number. You need to do an AAU to AES import.Rosters not submitted by the initial due date will result in a $25 late fee that is to be paid online via AES prior to the event.If you are running into issues submitting your roster, please click here for instructions and troubleshooting.
